Anoor Academy Privacy Policy

Families trust this school with a great deal: your child’s name and date of birth, how to reach you at any hour, and the small daily details of a student’s life here. This page explains what we hold, why we hold it, who else can see it, and what you can ask us to do about it. We have tried to write it in plain language rather than the usual legal fog, because a policy you cannot read protects nobody.

Effective Date: August 22, 2026

1. Overview

This policy covers the Anoor Academy website at anooracademymb.com, the forms on it, the family and staff login areas it hosts, and the email we send you as a result of any of those. It applies whether you are a parent exploring the school for the first time, a currently enrolled family, a staff member, or a supporter.

Our working rule is simple: we ask for what we need to run a school and to talk to you, and we do not go collecting beyond that. Where we do hold something sensitive, we say so plainly on this page rather than burying it.

This page describes our actual practices. It is not legal advice, and it does not replace any enrollment agreement, handbook, or notice we give you directly.

2. Who Runs This Website

The school is Anoor Academy, an Islamic educational institution in Myrtle Beach, South Carolina. The school decides what information is collected here and what happens to it.

The website itself was built and is maintained for us by Ameen Systems, a web studio that acts on the school’s instructions. Their maintenance access is described in section 6. They do not use anything from this site for their own purposes.

For any question about your information, write to [email protected] and it will reach the person who can answer it.

3. What We Collect

Information you give us on purpose

Most of what we hold, you handed us yourself. That happens when you:

  • send an admissions or general inquiry through a form on this site
  • ask to be added to school announcements or a mailing list
  • email the school, or reply to an email we sent
  • request staff access, or complete onboarding paperwork as an employee
  • sign in to the family or staff portal

Depending on which of those you did, that can include your name, email address, phone number, mailing address, the name and age of the student you are asking about, your relationship to that student, and anything else you chose to write in the message.

Information the website records by itself

Like nearly every website, ours notes some technical detail as pages load. This is handled by our web host and by the site’s own security tools:

  • your IP address and rough location derived from it
  • browser and device type
  • which pages you opened and when
  • the site or search that sent you here
  • failed sign in attempts, recorded so we can block repeated attacks

What we deliberately do not collect

  • We do not run advertising trackers on this site.
  • We do not use Google Analytics or any similar third party analytics service. Every script this website loads is served from our own server.
  • We do not buy contact lists, and we do not sell, rent, or trade yours.

4. Student and Family Records

This is the part most policies leave out, so we are putting it near the front.

Anoor Academy is a school. That means we keep records about children, including children too young to consent for themselves. We think you are owed a straight account of what those records contain.

When a family enrolls or begins the admissions process, the school creates a student record in the private portal on this site. A student record can contain:

  • the student’s name and an internal student identifier
  • date of birth
  • grade level and assigned class
  • enrollment status
  • the name, email address, and phone number of a parent or guardian
  • administrative notes kept by staff about the student’s time at the school

These records live in the school’s own website database on our web host’s servers. They sit behind a login. They are not published, not indexed by search engines, and not visible to other families.

Only school administrators and the staff whose work requires it can open a student record. Every administrative action taken inside the site is written to an internal activity log, so the school can see who looked at or changed what.

The school also keeps records about employees and applicants for staff roles, gathered through the access request and onboarding pages. These are handled the same way and with the same restrictions.

5. How We Use Information

We use what we hold for the ordinary work of running a school:

  • answering your questions and following up on an admissions inquiry
  • enrolling a student and administering that enrollment
  • reaching a parent or guardian, including in an urgent situation
  • sending school announcements, calendar notices, and newsletters to people who asked for them
  • operating the family and staff portal and keeping accounts secure
  • employing and onboarding staff
  • keeping the website working, defending it against spam and attack, and diagnosing faults
  • meeting record keeping duties that apply to a school

We do not use your information to build advertising profiles, and we do not use student information for marketing of any kind.

6. The Services We Rely On

A school website cannot be run without some outside help. Rather than say “trusted service providers” and leave you guessing, here is the actual list, what each one does, and what it is able to see. Every one of these is bound to use the information only to provide its service to us.

Service providers and what each can access
Provider What it does for us What it can see
Namecheap Hosts the website and carries the school’s email Everything stored on the site, and the content of email sent through it
Ameen Systems Built and maintains the site. A small plugin lets them check site health and perform administration remotely over a cryptographically signed connection The same records a school administrator can reach. Used only for maintenance we have asked for
Fluent Forms Runs the inquiry, admissions, and staff request forms Whatever you type into a form, stored on our own server
FluentCRM Holds the mailing list and sends announcements Name, email address, and which of our messages you opened
FluentSMTP Delivers the email the site sends and keeps a short delivery log Recipient address and subject line, kept for fourteen days
Ultimate Member Runs the family and staff login area Account name, email address, and profile fields you complete
CookieAdmin Shows the cookie notice and records your choice Which categories you accepted, and when
Loginizer Blocks repeated failed sign in attempts IP addresses that try to sign in
Simple History Records administrative actions taken inside the site Which staff account changed what, and when
WPVivid Makes backup copies of the site A complete copy of the site. Backups stay on our own server and are not sent to any outside storage service

If we add a service that can see personal information, we will add it to this table.

7. Our Use of Artificial Intelligence

Artificial intelligence is now part of how a great many websites are built and written, and most sites say nothing about it. We would rather tell you.

  • This website was built with AI assisted software tools. Portions of the writing on this site, including parts of this page, were drafted with AI assistance and then read, corrected, and approved by a person before publication.
  • No decision about a person is made by AI. Admissions, enrollment, placement, discipline, assessment, and hiring are decided by people at this school. There is no automated decision making about students, families, or staff.
  • Your information is not sent to an AI service. Student records, guardian contact details, form submissions, and the contents of your email are not fed into any external AI system.
  • The website itself does not call an AI service. Nothing on this site sends what you type to an AI model.

If any of that changes, we will update this section before the change takes effect, not afterwards.

8. When We Share Information

We share personal information in four situations, and no others:

  • With the service providers listed in section 6, only so they can do the job we hired them for.
  • Within the school, with the staff whose work requires it.
  • When the law requires it, such as a lawfully issued subpoena, court order, or mandatory report. Where we are permitted to tell you that this has happened, we will.
  • To protect someone, where there is a genuine and immediate risk to the safety of a student, a staff member, or another person.

We do not sell personal information. We have never sold it, we do not trade it, and we do not share it with advertisers, data brokers, or list vendors. This applies to student information without exception.

9. Cookies and Site Tools

A cookie is a small file a website leaves in your browser. When you first arrive here, a notice asks which kinds you will allow. Nothing beyond the strictly necessary category is set until you choose, and scripts in the other categories are held back rather than merely hidden.

Strictly necessary, always on Functional, your choice Analytics, your choice Marketing, your choice
  • Strictly necessary. These keep you signed in, remember a form part way through, and protect against abuse. The site cannot work without them, so they are not optional.
  • Functional. Small conveniences, such as remembering a preference you set.
  • Analytics. We currently run no third party analytics on this site. The category exists so that if we ever add one, your existing choice already governs it.
  • Marketing. We set none. The category is present for the same reason as analytics.

Your answer to the cookie notice is itself recorded, with a timestamp, so we can show that consent was given. That record is kept for one year and then expires. You can change your answer at any time by reopening the cookie notice, and you can clear cookies through your browser at any point.

10. Children and Student Privacy

There are two different things happening on this website, and the honest answer is different for each.

The public pages

The public part of this site is written for parents, guardians, prospective families, and adult supporters. We do not ask children to fill in forms here, and we do not knowingly collect personal information directly from a child through the public website. If you believe a child has submitted something through the public site, tell us and we will remove it.

The school’s own records

The school does keep records about enrolled and prospective students, including children, as set out in section 4. That information reaches us from the parent or guardian, or from the school’s own staff, not from the child filling in a web form.

Student information is used to run the school and for nothing else. It is not used for advertising. It is not sold. It is not shared with anyone outside the school except in the four situations in section 8.

What a parent or guardian may ask for

  • to see the information the school holds about your child
  • to have anything inaccurate corrected
  • to ask who has had access to it
  • to have information removed where the school is not required to keep it

Write to [email protected]. We will confirm your identity and your relationship to the student before releasing anything, which protects the child as much as it protects you.

11. How Long We Keep Information

Information should not be kept forever out of habit. These are the periods we work to.

Retention periods
What How long we keep it
Inquiry and admissions form submissions While the inquiry is live, and up to three years afterwards, then deleted
Mailing list membership Until you unsubscribe, then removed
Student and family records Throughout enrollment, and afterwards for as long as South Carolina and federal school record keeping rules require
Employment and staff access records For the period applicable employment law requires
Email delivery log Fourteen days
Cookie consent record One year
Administrative activity log Kept as a security record and pruned periodically
Site backups Rotated, with older copies removed as new ones are made
Web server access logs Kept briefly by our host on their standard schedule

12. How We Protect Information

  • The whole site is served over an encrypted connection, so what you send travels protected.
  • Student and staff records sit behind a login and are reachable only by accounts the school has authorised.
  • Repeated failed sign in attempts are detected and blocked automatically.
  • Administrative actions inside the site are logged.
  • Backups are stored on the school’s own hosting account and are blocked from public download at the web server level. They are not uploaded to any outside storage service.
  • Remote maintenance by Ameen Systems runs over cryptographically signed requests, not a shared password.

No website can honestly promise perfect security, and we are not going to. What we can say is that if a breach ever affects your information, we will tell the people affected and any authority we are required to notify, and we will tell you what happened rather than issue a vague statement.

13. Your Choices and Requests

Whether or not a specific privacy law applies to you, the school will honour these requests:

  • See it. Ask for a copy of what we hold about you or your child.
  • Correct it. Tell us what is wrong and we will fix it.
  • Delete it. Ask us to remove information, which we will do unless a record keeping duty requires us to keep it. If that is the case, we will tell you which one.
  • Stop the email. Every newsletter has an unsubscribe link, and it works immediately. Note that essential school communication about an enrolled student is not marketing and will continue.
  • Refuse cookies. Decline the optional categories in the notice, with no loss of access to the site.
  • Ask a question. If you simply want to know how something works, ask. You do not need to frame it as a formal request.

Send any of these to [email protected]. We aim to reply within thirty days, and usually much sooner. There is no charge.

14. Updates to This Policy

We revise this page when our practices change, when we add a tool that can see personal information, or when the law requires it. The effective date at the top always reflects the current version.

If a change materially affects how we handle student or family information, we will not rely on you noticing a changed date. We will tell enrolled families directly.

15. Contact Us

Questions about this policy, requests about your information, or a concern about how something is being handled all go to the same place.
